What is the difference between an active list and a static list in HubSpot?
Active lists update themselves. Static lists are a snapshot you took once.
An active list re-evaluates itself constantly, so records join and leave as they meet or stop meeting the criteria. A static list is a snapshot taken at the moment you saved it and it does not add new matches. HubSpot now labels both of these segments in the product, so if your portal says segment, that is the same thing.
Use an active list when the answer should keep changing
Newsletter audiences, lifecycle stage groupings, anything driven by a property that moves, and anything feeding an ongoing workflow. HubSpot's documentation describes active segments as automatically updating their members based on criteria, with records joining and leaving as they qualify. That is exactly what you want when the list represents a state rather than an event.
Use a static list when you need a fixed record of who
One-time sends, event attendees, an import batch you may need to unwind, a suppression group, and anything that has to survive as an audit trail. HubSpot describes static segments as including the records that met the criteria at the point the segment was saved, with new matching records not added later. If you send a one-off email to an active list and the membership shifts afterward, you have lost the ability to say cleanly who received it.
How we use them for suppression
LevelUp builds one master non-marketable suppression workflow that drops vendors, employees, do-not-contact records, disqualified contacts, unsubscribes and hard bounces into a single static exclusion list. Static is deliberate there: you want membership that only a rule adds to, never something that silently drops a person back into a send because a property changed. We pair that with a separate Do Not Contact lead status so compliance is a field somebody can see on the record, not an inference.
Headroom
HubSpot's Product and Services Catalog documents segment limits by tier. For Marketing Hub it currently lists up to 50 active and 1,000 static CRM segments on Starter, 1,200 of each on Professional, and 2,000 of each on Enterprise. Worth checking before you plan a portal that creates a list per campaign, which is a habit worth breaking anyway.
