What is the difference between a HubSpot workflow and a sequence?
Workflows automate the business. Sequences are a rep sending personal follow-up.
A workflow is the company automating something. A sequence is one salesperson following up from their own inbox. The difference is who is sending, and everything else follows from that.
Workflows
Workflows run on HubSpot's automation engine and can act on records, not just send email. They set properties, rotate owners, create tasks, add to lists, notify people internally, and branch on almost any condition in the CRM. Marketing email sent from a workflow goes out through HubSpot's marketing email infrastructure from a company address. HubSpot lists workflows as available with Professional and Enterprise across Marketing, Sales, Service, Data, Content, Smart CRM and Revenue Hub, with contact-based workflows also available on Marketing Hub Starter.
Sequences
Sequences are one-to-one sales follow-up. HubSpot's documentation is explicit that sequence emails are sent through the rep's connected individual work email address, not through HubSpot's marketing email servers, and that a team address connected to the conversations inbox cannot be used. Contacts unenroll automatically when they reply or book a meeting from a link in the sequence. HubSpot lists sequences with Sales Hub Professional and Enterprise and Service Hub Professional and Enterprise, with an assigned Sales or Service seat, caps a sequence at 10 email templates, and documents daily sequence send limits of up to 500 emails for Professional seats and up to 1,000 for Enterprise seats over a rolling 24 hours.
When each is the wrong tool
Do not run a newsletter through sequences. It sends from a personal mailbox, it is not built for broadcast, and it puts your rep's deliverability on the line. Do not try to make a workflow feel like a personal email from a rep, because recipients can tell and the reply goes to the wrong place.
How we build them
LevelUp consolidates. Rather than spawning a new workflow for every request, we branch inside fewer workflows so the automation stays auditable and one person can still understand it in a year. We also build one master suppression workflow that pushes vendors, employees, do-not-contact records, disqualified contacts, unsubscribes and hard bounces into a single static exclusion list, and we always maintain a separate Do Not Contact lead status for compliance.
