How much does a CRM implementation cost?
Software cost plus implementation cost, and the second one is usually underestimated.
A CRM budget has three lines, not one: software licenses, the implementation project, and ongoing support after go live. Buyers compare quotes on the second line only, which is exactly why the third one becomes a surprise.
Line one: licenses
Paid directly to the vendor, usually per seat per month, often with a tier jump when you need a specific feature. Two things catch people out: seats for people who only need to read data, and the tier you actually need for the automation you were sold. Price the tier you need on day one, not the one in the demo.
Line two: the implementation
This is the project, and it scales with four things: how many teams are in scope, how bad the data is, how many integrations you need in phase one, and how much process design has to happen before configuration starts. A company with one sales team and a clean export is a small project. Four departments, a legacy CRM and an ERP integration is not.
When you compare two quotes, check that both include migration cleanup, training, and a post launch support window. If one does and one does not, you are not comparing the same project. Line three: ongoing support
Someone has to own the system after launch. If that is an internal admin, the cost is a share of a salary. If it is a partner, price it now rather than later. Ours is published: HubSpot technical support is $195 per hour, training is $250 per hour, and there is a $700 per month package covering 4 hours with a 3-month minimum. The cost people forget
Your team's time. Discovery sessions, decisions, data review, testing, and training all come out of working hours. It is the largest uncosted item in most CRM projects, and underestimating it is why timelines slip.
Cheap quotes
A low implementation number usually means configuration only: turn the platform on, import the file, hand over the keys. That can be the right purchase if you have a strong internal admin. It is a bad purchase if you were expecting process design, and you will pay the difference in year one either way.
