How do you clean an email list and win back contacts who stopped opening?
A sunset policy: re-engage, then suppress, before dead addresses cost you inbox placement.
Validate addresses before you import, remove hard bounces immediately, run one short win-back series for long-term non-openers, and then suppress the ones who do not respond. A smaller list that engages is worth more than a big one that drags your reputation down.
Why dead contacts cost you money
Mailbox providers judge you on how recipients react. Bounces, complaints and mail nobody opens all push you toward the spam folder, and they push the mail your good contacts wanted there with it. Google's sender requirements tell senders to keep the spam rate in Postmaster Tools below 0.10 percent and never reach 0.30 percent. Yahoo's best practices set the same 0.3 percent ceiling and explicitly tell senders to monitor hard and soft bounces and remove invalid recipients promptly. Dead weight is not neutral.
The four steps
- Validate on the way in. Run any imported list through a validation service before the first send, and keep a form-level check so typos never enter.
- Remove hard bounces immediately. A hard bounce means the address does not exist. Never send to it again. Soft bounces can be retried, but repeated soft bounces should be treated as hard.
- Define non-engaged. Pick a window that matches your send frequency. If you mail weekly, six months of no opens and no clicks is meaningful. If you mail quarterly, it is not. Since open tracking is now unreliable, weight clicks and site visits more heavily than opens.
- Win back, once. Two or three emails, plain text, from a person, with an honest subject and a real reason to stay. Give a clear choice: stay, change frequency, or leave. Then stop.
Then suppress, do not delete
